Assignment of Table Space
To ensure a fair process, exhibit tables will be pre-assigned by NASFA. NASFA reserves the right to make final decisions on placements to ensure optimal flow and visibility for all exhibitors. Payment is required in order to secure your table.

In order to ensure a smooth experience with your boxes, booth/exhibit table requirements, etc., please complete the Hotel's Exhibit Form and remit to conference.concierge@attconf.utexas.edu. The shipping address in noted within the form.

Professional decorator services are not available at the NASFA National Conference
The Parade of States
The Parade of States is one of the most valuable sessions offered at NASFA! Exhibitors will have the opportunity to provide a two-minute presentation on their products and services to the attendees on Monday morning. A PowerPoint presentation or video as part of your company’s presentation is permitted and must be submitted in advance. Presentations are limited to five (5) slides total and videos must not exceed two minutes. To ensure the presentations run smoothly, NASFA will place all presentations on one laptop prior to the conference.
Exhibitor Sip & Stroll
Join us for our Exhibitor Sip & Stroll, a fun new networking event designed to bring together our exhibitors and attendees!
How does it work? On Sunday evening, attendees will gather in the exhibit hall where they will be divided among the exhibit tables and enjoy a sample of the food or beverage provided by NASFA while they listen to your two‑minute elevator pitch. After two minutes, attendees will rotate to the next table. Those who visit every exhibit table will be entered into our grand prize drawing, which will take place during the Business Meeting and Awards Ceremony. Participation in the Sip & Stroll is included with your exhibit table purchase.
Our prospectus outlines the opportunities and benefits available to engage with our membership. These options are designed to provide meaningful visibility, foster connections, and support productive interactions throughout the conference.

Hotel
Rooms have been secured at the group rate of $173/night + taxes. If the hotel has rooms available, they will honor that rate 3 days before and after our event!
Reservations at the AT&T Conference Center can be made by clicking here or calling 512-404-3600 and referencing the NASFA 2026 National Conference. If you don't reference the conference, they may not give you the group rate.

Commitments will be considered secured once BOTH the application and payment are received.

Tabletop booth includes:
One (1) 6 foot skirted table and two (2) chairs.
Additional exhibitor representatives are welcome to participate and register at a discounted fee of $900.00. This fee includes all sessions, meals and social events.
Payment must be received by NASFA prior to these acknowledgements.
Booths will be assigned on a first-come, first-serve basis. Every effort will be made to assign exhibitors to one of their preferred spaces. However, NASFA reserves the right to make the final space assignment or change the space assignment at any time.

CANCELLATIONS
If a cancellation occurs on or before May 1, 2026, a full refund, less an administrative fee of $300, will be issued. If cancellation occurs after May 1, 2026 the company will be responsible for paying the full cost of their support commitment.ADDITIONAL REGISTRANTS
ALL individuals must complete the online registration. Additional attendees can register at the rate of $900 per person.SPLITTING THE REGISTRATION IS NOT PERMITTED
For example one person attends one day and another person the next day is not permitted. Exhibitors without name badges will not be admitted into the exhibit hall. Only registered attendees are permitted in the expo, please refrain from inviting non-registered individuals to visit with you during show hours or in the expo; they will not be permitted admission.See the prospectus for additional rules & regulations.
Sponsored One-on-One Connections

A fan favorite, this is an exclusive benefit to conference sponsors. These one-on-ones provide the sponsoring company with the opportunity to connect with state facilities decision-makers, of their choosing, in pre-scheduled meetings. It's through these connections that new ideas, products, and opportunities come together.

State attendees are asked to fill out a questionnaire, which will assist sponsors with their One-on-One Connection selections. Sponsors will be asked to provide a list of preferred state representatives and NASFA will do its best to accommodate the requests (NASFA can NOT guarantee connections with any specific state or individual). Sponsoring companies are permitted to have a maximum of two (2) representatives present during the One-on-One Connection. Each company can only meet with a state representative once. Time has been scheduled in the conference program for state facilities professionals to meet with representatives from sponsoring companies (each of the scheduled appointments is 20 minutes in length). Scheduling for One-on-One Connections will open in May as our roster of state registrants is filled in. Sponsors will receive an email closer to the conference notifying sponsors with whom they will be meeting.
*All individuals attending One-on-One Connections MUST be fully registered for the conference. -
Our sponsors are also given exclusive access to the results of the State Attendee Questionnaire to assist them with their One-on-One Connection selections. See the questions and a sampling of results from previous questionnaires.

One-on-One Connection preferences will be solicited via email from NASFA to the contact identified on the sponsorship form. Specific information will be available closer to the conference.

The One-on-One Connections are just one of the many opportunities available to speak with the state conference attendees. The conference is structured to maximize networking opportunities. If you do not receive your preferred appointment:
Ask a NASFA Board of Directors member, Committee Chairperson or the NASFA staff to introduce you to the facilities representative during any of the conference functions.
Ask the state representative if she/he is available to talk during breakfast, lunch, or a scheduled break.
Pose a question during one of the educational sessions.
