Kentucky Electronic Document Collaboration…No Horsing Around !

Many owners who deal with multiple projects say that their largest headaches are often associated with not knowing where items are in process, not having quick access to the current version of documents, getting too many emails, and not getting good closeouts in a timely manner.

COVID-19 has put an added stress on owners and project teams reinforcing the need for electronic documents and signatures. Some software programs are known for very robust or complicated features. The reality is that owners are paralyzed at where to start or even attempt to successfully implement a system during a normal environment and especially during a pandemic.

The Commonwealth of Kentucky’s Facilities and Support Services Branch has captured a unique fit for a truly workable electronic system that is designed for the government’s layers of the process to the boots on the ground at the job site.

Getting people out of email chaos, getting project managers out of multiple systems, electronically signing documents, responding quickly to open records, receiving complete and organized electronic project closeouts, accommodating thousands of internal and external users, has all been made possible for this branch since July 2015.

As an owner, a switch to an efficient system makes sense. This presentation will explain how it is truly made easy and affordable.

Scott Baker, Energy Manager II, Division of Facility Efficiency, Kentucky Department of Facilities and Support Services

     Scott Baker is an Energy Manager with the Kentucky Finance and Administration Cabinet, Division of Facility Efficiency. Scott has been with the Commonwealth of Kentucky for 10+ years where he previously served as Facilities Director and Energy Manager Program Manager for the Cabinet of Health and Family Services (CHFS). In this role at CHFS Scott was the project lead for the newly constructed LEED Silver $129M Inpatient Acute Psychiatric Hospital as well as the Cabinet liaison and member of the Pilot Team for the development of the Commonwealth Energy Management and Control System (CEMCS) program. He earned his Certified Energy Manager title (2012) from the Association of Energy Engineers. Scott came to the Commonwealth after a 25+ year career in Real Estate Development and Design Build Construction Management.

Amanda Schoonover, Director of Software Technology, Lynn Imaging | eComm Technology

     Amanda Schoonover is Director of Software Technology with Lynn Imaging and eComm Technology. For the past 15 years, she has developed and implemented software solutions on hundreds of small and large scale capital projects.  She collaborates with project teams made up of owners, architects, engineers, consultants and contractors on a consistent basis, as well as consulting with them to define organizational workflow processes prior to launching eComm projects.
